This Privacy Policy explains how Bewley & Ritch collects, uses and shares your personal information when you visit bewleyandritch.com (the "Site"), buy from us or contact us.

Who we are

Bewley & Ritch is a trading name of BOI Holdings Ltd, a company registered in England and Wales under company number 10161377, with its registered office at Boi House, Haig Road, Parkgate Industrial Estate, Knutsford, WA16 8DX ("we", "us", "our"). We are the controller of your personal information for the purposes of the UK General Data Protection Regulation ("UK GDPR") and the Data Protection Act 2018.

The information we collect

  • Order information: your name, billing and delivery addresses, email address, phone number, the items you buy and payment details. Card payments are processed securely by our payment providers; we do not store your full card details.
  • Account information: if you create an account, your login details and order history.
  • Returns information: details of items you return or exchange, your reason for returning, and whether you chose a refund, exchange or store credit.
  • Customer service information: anything you tell us when you email or message us, including photos you send of faulty items.
  • Reviews: your name, review and any photos if you leave a product or service review.
  • Marketing preferences: whether you have signed up to our emails, texts or browser push notifications.
  • Device and browsing information: your IP address, browser and device type, time zone, the pages and products you view, how you interact with the Site, and how you arrived at it. This is collected automatically using cookies and similar technologies (see "Cookies" below).

How we use your information

We use your personal information, and rely on the following lawful bases under UK GDPR, to:

  • Process and deliver your orders, take payment, send order and delivery updates, and handle returns, exchanges and refunds. Lawful basis: performance of our contract with you.
  • Provide customer service and respond to your questions or complaints. Lawful basis: performance of our contract with you, and our legitimate interests in looking after our customers.
  • Run your account. Lawful basis: performance of our contract with you.
  • Send you marketing by email, text or push notification about our products, offers and events. Lawful basis: your consent, or, for emails about similar products after you have bought from us, our legitimate interests. You can unsubscribe at any time.
  • Show you relevant advertising on other websites and social media, and measure how well our advertising works. Lawful basis: your consent where we use non-essential cookies, and otherwise our legitimate interests.
  • Improve the Site and our products by understanding how people use it. Lawful basis: your consent where we use non-essential cookies, and otherwise our legitimate interests.
  • Prevent fraud and keep the Site secure. Lawful basis: our legitimate interests, and compliance with our legal obligations.
  • Keep financial and tax records and meet our other legal obligations. Lawful basis: compliance with our legal obligations.

Who we share your information with

We do not sell your personal information. We share it only with trusted service providers who help us run our business, and only as much as they need to do their job. They include:

  • Shopify, which hosts our online store and processes orders. You can read Shopify's privacy policy at https://www.shopify.com/legal/privacy.
  • Payment providers, including Shopify (including Shop Pay) and PayPal, to take payment.
  • Delivery and fulfilment partners, including Royal Mail and our order management and warehouse systems, to pick, pack and deliver your order.
  • Redo, which runs our online Returns Portal and Checkout+.
  • Marketing and customer engagement tools, including Mailchimp (email and SMS), Brevo PushOwl (push notifications), OptiMonk (pop-ups and sign-up forms) and Judge.me and Yotpo (reviews).
  • Advertising partners, including Google and Meta (Facebook and Instagram), who use information about your visit and purchases to show you relevant ads and measure their performance.
  • Analytics providers, including Google Analytics, to help us understand how the Site is used.
  • Professional advisers and authorities, such as our accountants, lawyers and insurers, and law enforcement, regulators or courts where we are legally required to share information or need to protect our rights.

If our business, or part of it, is sold or restructured, your information may be transferred to the new owner so they can continue to provide the service to you.

International transfers

Some of our service providers, including Shopify, Google, Meta and Mailchimp, store or process information outside the UK, including in the European Economic Area, Canada and the United States. Where this happens, we make sure appropriate safeguards are in place, such as UK adequacy regulations (including the UK-US Data Bridge), the UK International Data Transfer Agreement, or the UK Addendum to the EU Standard Contractual Clauses.

How long we keep your information

We keep your personal information only for as long as we need it for the purposes described in this policy:

  • Order, payment and returns records are kept for six years after the end of the financial year in which the order was placed, to meet our tax and accounting obligations.
  • Account information is kept while your account is active. If you ask us to close your account, we will delete or anonymise it unless we need to keep some information for legal reasons.
  • Marketing information is kept until you unsubscribe or ask us to delete it. We keep a record of your unsubscribe so we don't contact you again.
  • Customer service emails are kept for as long as needed to deal with your query and any follow-up.

Your rights

Under UK data protection law, you have the right to:

  • ask for a copy of the personal information we hold about you;
  • ask us to correct information that is wrong or incomplete;
  • ask us to delete your information;
  • ask us to restrict how we use your information;
  • object to us using your information, including for direct marketing;
  • ask us to transfer your information to another organisation; and
  • withdraw your consent at any time, where we rely on consent.

To use any of these rights, please email info@bewleyandritch.com. We may need to confirm your identity before we respond. We will reply within one month. You can unsubscribe from marketing emails and texts at any time using the link or instructions in each message.

Cookies

A cookie is a small file that is saved on your computer or device when you visit a website. We use cookies and similar technologies (such as pixels and tags) to make the Site work, remember your basket and preferences, understand how the Site is used, and show you relevant advertising.

Some cookies are strictly necessary for the Site to work, such as those used for your basket and checkout. Where the law requires it, we ask for your consent before setting other cookies, such as analytics and advertising cookies.   • Strictly necessary: cookies set by Shopify to run the store, basket, checkout, customer login and your privacy choices. A full list is available at https://www.shopify.com/legal/cookies.
  • Analytics: Shopify analytics and Google Analytics, which help us understand how visitors use the Site.
  • Advertising and marketing: Google Ads and the Meta pixel, which help us show you relevant ads and measure their results, plus cookies from our email, pop-up and review tools.

Children

The Site is not intended for anyone under the age of 16, and we do not knowingly collect personal information from children under 16. If you are a parent or guardian and believe your child has given us personal information, please contact us and we will delete it.

Automated decision-making

We do not make decisions about you based solely on automated processing that have a legal or similarly significant effect on you. Shopify and our payment providers use automated checks to help prevent fraud, such as temporarily blocking payment attempts that appear suspicious.

Changes to this policy

We may update this Privacy Policy from time to time, for example to reflect changes to our practices or for legal or regulatory reasons. The latest version will always be available on this page.
